Admin Support | Temp role until end of November | Immediate start | Hybrid working

Do you want to make a positive impact and play a meaningful role in the delivery of a high profile, fast-paced public Inquiry?

Currently recruiting for x2 excellent administrators who have strong communication and organisational skills to work on the Post Office IT Inquiry on an interim basis. These roles are with an immediate start, based in Aldwych and offers hybrid working.

These roles will be working in The Public Contact & Information Management (PCIM) function, which is the public-facing element of the Inquiry and is responsible for the handling, processing and managing queries from members of the public. In addition, it is responsible for handling information management related matters, including records retention, storage and destruction matters.

Key Responsibilities:

  • Support PCIM work by operating as an Public Contact & Information Management Assistant with the ability to:
  • Engage with members of the public with confidence and ease, to answer questions relating to the Inquiry by handling Inquiry phone line and emails, as appropriate
  • Review, respond and redirect correspondence to individual teams, as appropriate, including escalation to appropriate senior Inquiry lead.
  • Monitor and manage the Inquiry’s Outlook, SharePoint and other information channels to maintain consistency and high-quality standards.
  • Work with Inquiry personnel to ensure that information identified by specialist knowledge information providers and stakeholders is available to the Public Contact & Information Management (PCIM) Team, being clear that all identified material has been collated/updated in keeping with IM operating procedures.
  • Review records in line with relevant Records Retention and Archiving guidance. Support the IM Team in the design and delivery of an audit function for our Inquiry work.
  • Maintain a good working relationship with The National Archives, ensuring that our information management practices and in particular our archived material, is legally compliant.
  • Become familiar with relevant Information Management legislation and good practice. This includes the Data Protection Act 2018/General Data Protection Regulation (GDPR), and other Inquiry related legislation and their implications for our work.
  • Provide supplementary support to other areas of the Inquiry, identify potential pressure points, and work with the PCIM Team Leader to formulate a solution, support other emerging priorities and meeting targets set out by the Inquiry.

Skills and Experience
Essential:
  • Good organisational skills (including the ability to work to tight deadlines and prioritise own work in order to manage a busy or complex workload) are essential.
  • Effective team working and the ability to build good working relationships with members of the public, colleagues and stakeholders.
  • An ability to work proactively and independently with appropriate supervision
  • Demonstrate good oral and written communication skills
Desirable
  • Previous experience of public inquiries/reviews
  • Previous experience of engaging with the public sensitively in a professional setting.
