JOB TITLE – PA/ Admin Manager

PA Support

  • Confidential administrative and secretarial support to MD
  • Co – Ordinating the MD’s diary
  • Arranging accommodation and Travel for MD
  • Preparation for regional operational meetings, venue booking, refreshments, Agenda’s, reports, and presentations
  • Attendance at Regional Meetings, Taking and producing minutes
  • Typing of letters and emails
  • Managing all incoming and outgoing correspondence
  • Completion of expenses
  • Ad hoc Projects for MD’s and Directors

General Office Management

  • Consult with security in terms of general office maintenance when needed
  • Approve stationary orders including team / coffee etc
  • Consult with the Handyman / property team to book in repairs to the office / toilets / kitchens as and when needed
  • Consult with IT / Lynne in terms of IT equipment / phones etc
  • Resolve printer issues with New Malden as and when the need may arise order replacement toners etc
  • Approve Stationary orders
  • Clearing marketing and cupboards as and when needed
  • Resolving Teams issues as and when they arise and moving consultants to the appropriate team

Team Management

  • Management of the administrator’s and compliance administrators approximately 12 in total
  • This includes managing sickness / holiday, monthly reviews and PCR’s also recruiting for replacements when we have leavers, organising cover for holiday and or additional projects / work as and when they arise
  • Ensure Audits are actioned immediately, with the support of the relevant CA’s and aim to be getting 95% on them
  • Monthly attendance on compliance calls to ensure we are keeping up to date with any new compliance information / processes, also to discuss the monthly SDR’s
  • Delegating to Admin reports that might be needed for BD days and any other ad hoc duties from Managers and Director’s

Business Support

  • Distribution of fee data and other Figures to regional offices
  • Produce Daily/ Weekly/ Monthly ad-hoc management business reports and league tables relating to activity, margins, and fees
  • Producing presentations and tracking figures for Regional /national incentives
  • Organising Conference Calls
  • Local and National event organisation
  • Requesting access to and managing distribution lists and or team drives
  • Raising Change of details when required
  • Logging absence
  • Taking notes for disciplinary meeting’s
  • Any other ad hoc duties that may arise
  • Greeting New Starters on their first day and ordering their passes
  • Contract amendment, leaver, and internal transfer paperwork
  • Maintaining staff absence records on internal system
  • Providing holiday cover for other PA’s when required
