Executive Assistant

Your new role
Provide confidential administrative and PA support to the MD and Commercial Director, and assistance to the Construction Director, email management - provide proactive support to manage the directors’ email accounts by highlighting priorities and acting or responding on their behalf, where appropriate, whilst retaining all important documentation for future reference. Provide admin support to the directors and senior managers – prepare and issue tender enquiries, subcontractor orders and general correspondence, prepare/check customer extras forms and spreadsheets, produce orders in Sage, proof read and format documents, service team meetings – produce/circulate agendas, minute meetings, distribute and follow up actions as required, act as a central information source and be the first point of contact for the directors, delegate work to the Administration Assistant as required and cover her absence (answer telephones, deal with customer care issues, log/issue drawings, filing etc) Office Management, formulate office practices and procedures, set up/amend templates, forms and checklists for use by office and site staff, obtain best prices for new office equipment, consumables and contracts as required & place orders/renew contracts and licences when due (mobile phones, broadband, IT support, Microsoft Office licences, photocopier, printers, phone systems, cleaners, postage, printed stationery, work wear, office furniture and stationery orders), and organise maintenance for current equipment, eg photocopier servicing, phone maintenance, check IT support logs), HR matters (assist with recruitment/disciplinary/redundancy meetings and procedures, organise interviews, offer letters, reference requests, contracts, handbooks and inductions, monitor holidays, absence, lateness and training records, organise training, liaise with HR consultant to ensure all documentation is up to date and circulated as required), provide IT training where required, source and purchase software and hardware, liaise with IT consultants to ensure the smooth running of the computer system (backups, updates, anti-virus etc), maintain health & safety register to document and monitor subcontractor health & safety, insurance documentation and certificates, circulate documentation to site and ensure renewal documentation is obtained as required. Liaise with health & safety consultant, Company & Management company insurances – assist with insurance renewals as required, liaise with insurance brokers and management company, forward on paperwork, agree/chase repayments, deal with enquiries/queries Other Duties Team Building/Charity Event organisation – manage the organisation and delivery of specific events within agreed budgets Check/approve banking templates, check payments, wages and expenses claims and monitor bonuses paid. Enter payments onto banking in the absence of the accountant. Issue annual service charge & ground rent invoice for leasehold properties and chase outstanding payments Customer extras – assist with administration, costings and customer correspondence when required, Clifton Square Shared Equity properties (only one property remaining) – deal with enquiries, agree valuations & repayment amounts, liaise with solicitors, ensure documentation is completed/returned/forwarded as required, deal with associated solicitor correspondence, management company processes, costs and packs – preparing management company documentation, forms LPE1s, Deeds of Covenant, Transfer Notices and Certificates of Compliance Company vehicles – ensure car tax and MOTs are up to date, carry out licence checks and issue insurances & accident documentation to company car drivers, ensure employee documentation (additional drivers forms, accident reports, etc) are requested/completed/up to date.

What you'll need to succeed
In order to be successful you will need to have excellent organisational and communication skills, attitude and ability to go above and beyond when required, a strong administrative background, computer systems literate including Microsoft office (Excel and Word), ability to shadow meetings both in office and onsite.
