Hays are working alongside a large manufacturing business in Telford who are looking to recruit a Customer Services Coordinator on a permanent basis.

Your new role
The Customer Service Coordinator takes ownership of the correct processing of all customer orders and outgoing deliveries. Focus is on customer satisfaction and management of the day to day customer account activity allowing commercial functions to be able to focus on growing and developing business. The customer service co-ordinator is to act as the interface between the operational aspects of the organization and the customer – with bi-directional feedback i.e. customer requirements filtering into the organization and operational information feeding out of the organization back to the customer. The quality and timeliness of this information is of the essence.
  • Receipt of orders and liaison with supply chain and production ensuring customer requirements in terms of product, quantity, and delivery date information are fully understood by all involved.
  • Computer processing and confirmation / acknowledgement of customer orders following manufacturing planning or warehouse scheduling within 24hrs.
  • Monitoring of all orders identifying orders which are identified to be “running behind schedule”. Liaison with Supply chain, Production and warehousing to seek to address the cause of the delay and bring orders back into line with the promises that have been made to the customer.
  • Ensuring order status is effectively communicated to customers.
  • Management of customer delivery schedules
  • To work closely with the external sales team and other internal departments e.g. finance and technical to process and progress customer enquiries, sample requirements, technical enquiries etc.
  • To raise and instigate actions to quickly investigate and resolve customer complaints.
  • Continuously increasing the external customer satisfaction level.
  • Solve and trouble shoot in case of an operational issue (warehouse/transport/credit block/availability etc.)
  • To provide accurate quotations to customers within 24 hours and ensure adequate follow up.
  • Liaise with Purchasing to ensure availability of raw material.
  • Raise accurate item critical specification for each customer item/order and customer specific critical specification if required.
  • Link the correct item critical specification, and customer critical specification to the item in Radius/EFI
  • Accurately complete customer stock sheets.
  • Review Finished Goods Report and Open Orders Report monthly.
  • Complete KPI information daily.
  • Assist planning/production with outstanding work in progress
  • Complete and distribute all New Customer/New Product forms for review
  • Contact ALL allocated customers monthly.
  • Constantly work towards a paperless environment.

What you'll need to succeed
  • At least 5 years of experience in related fields (customer service, logistics, shipping).
  • Working experience in a Sales Organisation or Customer Service organisation.
  • Good level of numeracy and literacy ability
  • Computer skills: Movex, Microsoft Word, Excel
  • Able to manage a wide variety of tasks and keep head cool in stressful situations
  • Team player
  • Operate in an independent manner, displaying ownership and taking initiative
