Your new role
Working as an Admin Assistant for the office, your primary duties are
- To be an active and pro-active team member ensuring delivery of administrative support to the Partners & Payroll Department
- To answer telephone calls/e-mails/correspondence, in a courteous and helpful manner
- Greet clients & visitors in reception, answer enquiries and create a welcoming environment
- Typing letters and correspondence on behalf of the Partners & Payroll Department
- Schedule appointments, meetings and reservations for the Partners
- To manage the new client process, to ensure a smooth transition to the practice
- To run Anti-Money Laundering Client Checks as required
- To maintain an accurate filing system (paper & electronic) to ensure swift retrieval of client documentation and information
- To raise client invoices at the request of the managers and to run monthly statements for all client accounts
- To manage office stationery inventory and make the managers aware when stationery orders are required
- To bank any cheques or cash received
- To frank and post all outgoing mail for the practice
- To provide data scanning & document shredding as required
- To collate Payroll monthly figures for client invoices
- To provide administrative support to the Payroll Department
- To receive deliveries, sort and distribute incoming mail
- To undertake any other reasonable administrative duties
What you'll need to succeed
- Previous experience in a similar role is preferred
- Good knowledge of Microsoft Office Package
- Organised
- Ability to work alone and as part of a team
- Polite and professional manner
- Attention to detail
- Can do attitude towards the role
- Excellent communication skills
- Experience of both Iris & Xero Accountancy Software is desired, but not essential
What you'll get in return
This is a permanent role to start ASAP. Salary £17,500 to £22,000 depending on experience. Hours of work are 35 hours per week, Monday to Friday. 9am to 5pm. There is an option to work completely in the office for the 5 days, or you can work up to 2 days a week remotely, with 3 days in the office. You will have a can-do attitude, be comfortable working in a small team and being a great team player.
