Personal Assistant to Director, Permanent, £30,000, Fareham

As a Personal Assistant you will support at Director and Exec level for an established and growing business based in Fareham that operates throughout the UK. This is a permanent role with a salary of £30,000 per year.

Your new role

Within your role as a pro-active and dynamic personal assistant you will provide a high quality support service to a busy director and leadership team. Day to day responsibilities will include:

  • Managing the director’s busy dairy, commitments and travel arrangements effectively by arranging meetings and pro-actively resolving scheduling conflicts
  • Facilitate and attend meetings, take meeting minutes as required and distribute to appropriate parties on completion
  • Ensure the director is fully briefed on and prepared for all engagements and meetings they are attending and involved in
  • Prepare reports, undertake research and create presentations as required in readiness for meetings and for distribution to involved parties
  • Manage incoming communications by answering queries, phone calls, invitations and filter information to the director by redirecting or escalating as urgent
  • Prepare and distribute correspondence on behalf of the director
  • Provide reminders to the director in relation to meetings and matters that need imminent action
  • Effectively utilise administration systems to support the director by keeping and maintaining accurate records of electronic documentation, paper documentation and correspondence
  • proactively taking forward appropriate contact
  • Ensure that work completed on behalf of the director is carried on a confidential protective basis and adhering to data protection regulations and requirements
  • Some projects administration and co-ordination

What you'll need to succeed

You will be a highly pro-active and self-led personal assistant who can provide a high level support service to the director and leadership team

  • Be confident in prioritising urgent needs of the business and director
  • Hold extremely efficient time management and organisational skills
  • Have excellent verbal and written communication skills
  • Thrive in a fast-paced environment with tight deadlines
  • Have excellent diary management and administration skills
  • Have experience in supporting projects and projects administration
  • Be a natural problem solver who can take a flexible approach to find solutions
  • Be able to develop strong working relationships with stakeholders within the business
