Executive Assistant

A leading Facilities Management Firm are looking for an exceptional EA to support their new Managing Director

Your new company
This company is a a multinational construction and facilities management firm based in SW London with a revenue of just shy of £billion in 2018. Following a recent promotion of their MD they are now looking for a hard working, ambitious Executive Assistant.

Your new role

  • Provide comprehensive diary and email management to the MD
  • Acting gatekeeper for all enquiries by general correspondence, email and phone on the MD’s behalf
  • Prepare and disseminate appropriate materials for meetings such as agendas, reports and presentations in a timely manner and provide comprehensive note-taking and minutes of meetings when required
  • Support the MD to obtain, collate and report confidential information ensuring that highly sensitive and confidential issues are handled in an appropriate manner
  • Manage and maintain actions logs and trackers
  • Manage, collate and disseminate monthly reports across various stakeholders in accordance with contractual deadlines
  • Manage and process invoices, HR requests, team administrative requests and contractor time sheets
  • Provide additional support to the Executive Team when required in terms of setting up meetings and issuing board packs
  • Organise travel arrangements, hotel accommodation for MD (and other Exec Team members when required)
  • Complete the organisation and administration of visits, meetings, conferences, seminars with internal and external visitors
  • Act as first point of contact for any complaints to the MD, co-ordinating and monitoring the responses and ensuring all relevant parties are kept informed
  • Forge and manage working relationships across the various divisions and functions of the Division
  • Completion, processing and approving of expenses in the required time frame
  • As required undertake EA cover duties within the organisation.

What you'll need to succeed

  • Proven PA/EA Executive Team level experience within a pressured and challenging environment
  • Experience supporting at C-Suite level
  • Advanced knowledge of Microsoft applications, Word, Excel and PowerPoint.
  • Strong attention to detail with excellent communication skills
  • Can demonstrate versatility in preparation and collation of a wide range of material for meetings and events, from general correspondence to complex and detailed reports and associated documents
  • Ability to draft clear and focused correspondence, minutes, letters and reports
  • Extensive knowledge of excellent office and administrative procedures and processes
