Your new school

Hays are working exclusively with a small one form entry primary school based just outside of Warwick Town Centre. This school prides itself on its Multi Diversity and happiness of its students. As the primary school is a Catholic school the successful candidate must be happy to follow in line with the school’s Catholic Ethos. Together we are looking for the perfect candidate who can cover an interim period of time as an Office Assistant responsible for finance and administration.

Your new role

We are looking for an assistant who has experience working in a busy school environment; someone who is experienced with school finance and general administration. A large part of your role would be to use the school’s finance system FMS Financials. They have only recently moved onto the FMS system from Aggresso, therefore it is essential that you have used this programme before as training would be very limited. You will use the FMS system to process invoices, raise purchase orders etc. Due to where this period of time is likely to fall in the school’s financial year you will also be looking over the school’s budget and support in planning the budget for the next financial year, previous experience working with budgets will be beneficial, especially school budgeting (you will be working together with another assistant who is familiar with this task).

Everyone works collectively together in the office, so you will still be expected to answer the phones on reception, meet and greet parents and visitors, complete general administrative tasks such as printing filling and maintain student data on the SIMs database. You will also oversee admissions and will be required to speak to other schools and third parties to acquire information.

What you'll need to succeed

Prior school office experience is essential, along with the use of FMS Financials and SIMs. Previous experience working within a finance-based role at a school will be desirable to the hiring manager. You must be able to multi task and prioritise your work load as the role is extremely busy and you will be part of a small office team. Great communication is essential and will need to be able to build rapport quickly. All candidates will be required to complete a DBS application unless they are on the update service and can provide a copy of the original document.
