Senior Executive Assistant

US Investment Bank seeing 1.1 EA within Private Banking. Canary Wharf, £20.66 per hour.

Your new company
Our client, a global US investment bank based in Canary Wharf are currently seeking an Executive Assistant to join their private banking team and support an EMEA Head on a 1.1 basis. The role requires 1:1 support, as well as working closely, and liaising, with team members in various locations as well as with senior management located globally.
This role has been released initially as a 6 month contract with the possible transition to go permanent.

Your new role
To provide administrative support to the EMEA Investment office and EMEA Head. 

Responsibilities will include but not be limited too:

  • Complex diary management and organisation of: internal and external meetings, including client meetings; senior management functions; and video/conferences calls.
  • Arranging regular global and complex travel itineraries – flights, hotels, cars etc.; prepare materials and itinerary for those trips.
  • Completion of expense claims and invoice payments.
  • Completion of expense claims, and processing of business related invoices – in line with bank policy and guidelines.
  • Minuting of meetings as and when required.
  • Preparing documentation for meetings and conference calls.
  • Putting together presentations in PowerPoint.

The wider team is sizeable so whilst the role primarily focuses on supporting on a 1.1 basis, there will be occasions where you may need to help out the team with other duties e.g. expenses.

What you'll need to succeed

Solid Secretarial / PA experience within a large financial service oriented organisation.
Experience of a 1.1 role highly desirable, evidence of supporting a senior manager who frequently travels.
Strong IT skills - Microsoft Word, Excel, PowerPoint and Outlook.
Ability to work as part of a team, provide cover.
